Lessons from our Legislative Summit: Communicating with Impact

At the Pink Granite Foundation Legislative Summit, we took away essential lessons on effective communication – insights every advocate, policy professional and engaged citizen should master. Whether you’re stepping into the Capitol for the first time, meeting with legislators or speaking to the media, The Mach 1 Group laid out a roadmap for success. Here’s what we learned from the powerhouse women leading this nationally recognized policy PR firm.

The Keys to Effective Communication

  1. First Impressions Matter

The way you present yourself sets the tone for every interaction. Whether at the Capitol or in a professional setting, dress appropriately, be aware of your surroundings and seek a second opinion when in doubt.

2. Be Prepared When Meeting Lawmakers

Know their background and policy priorities before stepping into a meeting. Build relationships with staffers –  they’re often the gatekeepers. Most importantly, use everyone’s time wisely by having a clear, concise agenda.

3. Master Your Message

The best messages are simple, clear and memorable. Keep them to 1-2 sentences, reinforce them with analogies and real-world examples and repeat them often. People remember only about 10% of what they hear a week later – make that 10% count.

4. Amplify Your Message

A strong message needs the right platform. Use newsletters, social media, press releases and speaking opportunities to reach your audience. Be strategic – don’t oversaturate media contacts, and always align outreach with key legislative dates, districts and priorities.

5. Present with Confidence

Whether speaking in a meeting, testifying in committee or being interviewed, stay focused, highlight what makes your perspective unique and engage your audience rather than reading verbatim. In media interviews, maintain eye contact, use natural gestures and keep your answers clear and to the point.

6. Create Effective Collateral

Lawmakers and stakeholders are busy, so your materials should be concise, visually engaging and straight to the point. A well-designed one-pager can be the difference between getting your message across or getting lost in the shuffle.
